Outbound calls

An AI voice agent for the outbound calls your team never gets to

We build an AI voice agent that places the routine outbound and operational calls your staff struggle to fit in: confirming tomorrow's appointments, following up on quotes, running short satisfaction surveys and reminding customers about overdue balances. It is for operations, customer success and billing teams who have a list of people to call every day, a CRM to record the result in, and a need to stay on the right side of consent rules.

Quick answer

What is an AI voice agent used for?

An AI voice agent is software that places or handles phone calls to complete a defined task, such as confirming an appointment, following up after a quote, running a survey or giving a payment reminder. It works from a call list, checks consent first, records each outcome in your CRM and hands off to staff when needed.

  • Outbound calls start only for contacts with recorded prior express consent.
  • Each call has one job, a script, and a structured outcome written to the CRM.
  • Retries, call windows and opt-outs are enforced by rules, not by the model.
  • Disputes, complaints and payment arrangements always go to a person.

01

What can an AI voice agent do that an inbound line cannot?

It starts the conversation. Where an inbound receptionist waits for the phone to ring, an outbound agent works through a list your systems generate: tomorrow's appointments, quotes sent five days ago, jobs completed last week, invoices past due.

Each campaign has one narrow job and a fixed set of outcomes. A confirmation call ends as confirmed, rescheduled, cancelled or no answer. A survey call ends with a score and an optional comment. Because the outcomes are fixed, results can be written to HubSpot, Salesforce or your practice or field service system as clean fields rather than transcripts somebody has to read.

  • Appointment confirmations and reschedules the day before.
  • Quote and estimate follow-ups that book a next step.
  • Post-service satisfaction and NPS-style surveys.
  • Payment and renewal reminders with a route to billing staff.
  • Re-engagement calls to lapsed customers who have opted in.
02

Are AI voice agents legal for outbound calls?

They can be, but consent comes first. On February 8, 2024 the FCC ruled that AI-generated voices count as artificial voices under the Telephone Consumer Protection Act, so outbound calls using them need the called party's prior express consent.

Some states add disclosure duties. Utah's AI Policy Act and California's bot disclosure law require telling people, in certain situations, that they are dealing with an AI. Call recording brings two-party consent rules in the states that have them. We build every outbound AI voice agent to check a consent field before dialing, disclose that it is an AI at the start of the call, honor opt-outs immediately and log all three. This is not legal advice; your counsel should confirm how these rules apply to your call types and states.

03

How does an AI voice agent run appointment confirmation calls?

A scheduled job pulls the next day's appointments from your calendar or scheduling system, filters out anyone without consent or already confirmed by text, and queues the rest. The agent calls within your allowed hours, states who it is calling for, and asks the patient or customer to confirm, move or cancel.

Reschedules use live availability so the new slot is real, and the change is written back during the call. Cancellations free the slot immediately, which gives your team time to fill it. Anyone who sounds confused, asks a clinical or account question, or asks for a person gets a callback task for staff instead of an improvised answer.

04

How are follow-up and survey call results recorded?

Every call produces a structured record: outcome, answers to each scripted question, any free-text comment, a transcript link and the time of the next attempt if there is one. We write that record to the CRM against the right contact, deal or ticket.

For quote follow-ups the useful output is the next step: a booked call with a rep, a request for a revised quote, or a clear no with a reason. For surveys it is a score you can report on, plus comments routed to the account owner when they are negative. A dashboard shows reach rate, completion rate and outcomes by campaign, so you can see which call lists are worth running.

05

Can an AI voice agent handle collections reminders?

It can remind; it should not negotiate. A reminder call confirms identity in the way your policy requires, states the balance and due date, offers to send a payment link by text or email, and logs the response.

Anything involving money beyond that (a dispute, a hardship request, a payment plan, a promise to pay on a new date) creates a task for your billing team with the transcript attached. Because collections touches money and sensitive customer situations, we scope these campaigns with your compliance contact before any calls go out.

06

How do you control retries, call windows and opt-outs?

With rules outside the model. The dialer logic decides who is called, when and how often; the model only handles the conversation. That keeps the behavior that carries legal and reputational risk deterministic and auditable.

Typical controls include calling only inside local business hours for the contact's time zone, a maximum number of attempts per contact per campaign, a gap between attempts, voicemail rules, and a suppression list that any opt-out is added to at once. Every dial, outcome and opt-out is logged with a timestamp, which is the record you want if a complaint ever arrives.

07

Which platforms do AI voice agents run on, and what do they cost?

We build on Vapi, Retell AI, ElevenLabs Agents or Bland AI, with Twilio numbers registered to your business and the model chosen for the task. The deciding factors are voice quality, latency, outbound concurrency, BAA availability for healthcare calls and per-minute pricing at your volume.

Platforms publish per-minute rates that differ in what they include, so we keep those comparisons in our AI receptionist cost guide rather than repeating them here. Our build is a fixed price after a free review; call minutes are billed by the platform to your account.

FAQ

Frequently asked questions

Do AI voice agents need consent to make outbound calls?

Yes. The FCC ruled on February 8, 2024 that AI-generated voices are artificial voices under the TCPA, so outbound calls using them need prior express consent. Certain states add a duty to tell the person they are speaking with an AI. This is not legal advice.

What is the difference between an AI voice agent and an AI receptionist?

An AI receptionist answers incoming calls and books, routes or transfers them. An AI voice agent, as we build it, places outbound and operational calls from a list, such as confirmations, follow-ups, surveys and reminders, and records a fixed outcome for each.

Can the agent leave voicemails?

It can, if your policy and the consent you hold allow it. We set voicemail rules per campaign, including whether to leave a message, what it says and whether to retry later.

How many outbound calls can run at the same time?

That depends on the platform's concurrency limits, your Twilio setup and your plan. We size it during scoping and spread calls across your allowed calling hours so staff can handle the handoffs that follow.

Can the agent take payments over the phone?

We do not have the agent collect card details by voice. It sends a secure payment link by text or email and logs the response, and anything involving disputes or payment plans goes to your billing team.

How much does an AI voice agent cost per minute?

Voice platforms each publish their own per-minute pricing, and what is included varies. Our AI receptionist cost guide compares them. Our build is a fixed price after a free review, with minutes billed to your own account.
